AFG FilterBank Privacy Policy

1. About this policy

This policy explains how Advance Filtration Group Pty Ltd (AFG) handles personal, company, equipment and photographic information submitted through AFG FilterBank. FilterBank is a workplace tool for HVAC service technicians, companies and authorised AFG personnel.

2. Information we collect

• Account details, including name, work email address, mobile number, position, company and state or territory.
• Authentication and account-status information.
• Customer, site, HVAC equipment, filter-bank, quotation and purchase-order information entered by authorised users.
• Equipment, filter and label photographs uploaded by users.
• Technical information required for security, service operation and troubleshooting, such as timestamps and request records.

3. How we use information

• To register and authenticate users and control company access.
• To save equipment and filter records, prepare schedules and respond to quotation requests.
• To provide product suggestions, including Beta photo-recognition results that require user confirmation.
• To administer pricing access, support users, secure the service and improve FilterBank.

4. Service providers

AFG uses service providers to operate FilterBank, including Supabase for authentication, database and photograph storage; Resend for transactional emails; and OpenAI Sites and associated hosting infrastructure for delivery of the application. These providers process information only as needed to provide their services to AFG.

5. Photographs and recognition

Uploaded equipment and filter photographs may contain site or equipment information. Users must avoid photographing people, access credentials or unrelated confidential material. Photo recognition is a Beta assistance feature. Its suggestions are not definitive and must be checked by the technician.

6. Disclosure

AFG does not sell FilterBank information. Information may be available to authorised users within the relevant company, authorised AFG personnel and service providers supporting the application. AFG may also disclose information where required by law or to protect users, AFG or the security of the service.

7. Storage, security and retention

AFG transmits FilterBank information using encrypted connections and uses account, company and role-based access controls. Service providers may process or store information in Australia or other countries where their infrastructure operates, subject to their security and contractual safeguards. Active account and equipment records are retained while needed to provide FilterBank. Deletion requests are normally completed within 30 days after identity verification. Quotation, transaction, warranty, security and dispute records may be retained for the period reasonably required by law or legitimate business-record obligations. Information that is no longer reasonably required is deleted or de-identified where practicable.

8. Account and data deletion

Users can request deletion from Settings inside FilterBank or through the public account-deletion page. AFG will verify the requester and normally complete a valid request within 30 days. Some quotation, transaction or business records may be retained where reasonably required by law, taxation, warranty, dispute or legitimate business-record obligations. Any retained information will remain protected and will not be used to provide an active FilterBank account.

9. Access and correction

Users may contact AFG to request access to or correction of their personal information, subject to applicable law and reasonable identity verification.

10. Children

FilterBank is a workplace service and is not directed to children. Users must be authorised by their employer or business to use the service.
